Privacy Policy

Casa Inspect (“we,” “our,” “us”) is operated by JHB Property Management LLC. This Privacy Policy explains what information we collect when you use the Casa Inspect property management platform, how we use it, and the choices you have.

1. Who this applies to

This policy covers everyone who creates a Casa Inspect account or is added to a property’s team by an account holder — property owners, managers, cleaners, inspectors, and maintenance contacts.

2. What we collect

Account information. Your name, email address, phone number, and the organization you belong to. Owners also provide their organization name during signup.

Property information. Property names, addresses, room layouts, photos you upload during inspections, and the contact information of cleaners, inspectors, and maintenance staff that owners add to their team.

Booking information. If you connect a short-term rental calendar (Airbnb, Vrbo, Booking.com, or via HostHub), we ingest checkout dates and guest names from the iCal feed you provide, solely to schedule inspections and cleanings. We do not sell or share this information.

Inspection records. When you complete an inspection, we store the items you marked, any notes or photos you attached, and the timestamp.

Voice and audio. When you use Casa, our AI assistant, in voice mode, we record audio locally on your device, send it to OpenAI Whisper or Groq for transcription, and discard the audio after transcription. Transcripts are stored in your conversation history but are not used to train third-party models.

Usage data. Standard server logs (IP address, browser, request timestamps) for security and debugging.

3. How we use information

  • To run the platform — create your account, show you the properties you manage or service, schedule cleanings and inspections.
  • To send you operational notifications — by SMS, email, or in-app — about cleanings, inspections, maintenance, and account activity. See the SMS section below.
  • To improve the product — aggregate, anonymized usage patterns. We do not sell your information to advertisers.

4. SMS notifications

Casa Inspect sends SMS notifications about your properties and tasks (cleaning dispatches, inspection alerts, maintenance reminders, daily digests). These are operational messages — not marketing.

Opt-in.Property managers consent to SMS during signup by checking a box that reads “I agree to receive SMS notifications about cleanings, inspections, maintenance, and account activity. Standard message and data rates may apply. Reply STOP to opt out at any time.” Cleaners, inspectors, and maintenance contacts are added by an account holder using their phone number, then receive a one-time invitation SMS with a link and an opt-out footer.

Opt-out. You can opt out of SMS at any time by replying STOP to any message, clicking the unsubscribe link in a message footer, or changing your notification preferences in your profile settings. Opt-out is honored within minutes.

Frequency. Volume varies by property activity. A typical owner with a few properties receives 5-30 messages per week.

Carrier disclosure. Standard message and data rates may apply. Casa Inspect does not pass your phone number or any SMS content to advertisers, data brokers, or marketing affiliates. Twilio is our SMS delivery vendor; carriers (AT&T, Verizon, T-Mobile, etc.) handle final delivery to your device.

5. Sharing

We share information only with the service providers we depend on to run the platform: Supabase (database + storage), Vercel (web hosting), Twilio (SMS), Resend (email), Anthropic and OpenAI (AI features). Each is contractually bound to use the information solely to provide the service to us.

We do not sell your information. We do not share it with advertisers. We will only disclose information to law enforcement when legally compelled to do so.

6. Retention and deletion

Active account data is retained while your account is open. On deactivation, we soft-lock your data and permanently delete it 30 days later if you don't reactivate. 7. Security

We use HTTPS for all traffic, store passwords using industry- standard hashing, and access user data only through row-level security policies that restrict each request to data that user is authorized to see. We back up the database daily and monitor for suspicious activity.

8. Your rights

Depending on your jurisdiction, you may have rights to access, correct, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, email support@casainspect.com with your request.

9. Changes to this policy

We may update this policy. The “Last updated” date at the top reflects the most recent version. Material changes will be communicated via email to active account holders.
